There's no price list for virtual reality, and anyone who presents one without asking questions first is guessing. The cost of a VR experience shifts by a factor of ten depending on six variables — and the most important one isn't the technology, it's how many people will use it.

This guide covers what makes up the price, the three experience tiers that exist and, most importantly, the point where the math simply doesn't add up.

The six factors that determine the price

  1. The type of experience. A 360-degree video (the user looks around) costs a fraction of an interactive 3D scene (the user picks things up, assembles, tests). These are two different projects with the same name.
  2. How much 3D content needs to be built from scratch. If the product already has a CAD model, half the work is done. If it needs to be modeled, textured and animated, that's where the budget grows.
  3. Number of scenes and branches. A linear three-minute experience is one project; training with decisions, possible mistakes and different paths is another, because every branch needs to be built and tested.
  4. Hardware and number of stations. A single headset serving a queue is different from four people at once — it multiplies equipment, and sometimes requires a network and dedicated computers.
  5. Operation. At an event, someone needs to sanitize the headset, guide the visitor, restart it when it freezes and start over every three minutes. That's staff and day rates, not software.
  6. Duration and destination. A four-day activation at a trade fair, a permanent installation in a store, and training distributed across multiple locations all have completely different logistics and maintenance costs.

The three tiers, in practice

Tier 1 — 360 video. Filming or rendering in 360 degrees, the user observes. Good for site tours, space presentations, environment-familiarization training. It's the cheapest and fastest to produce.

Tier 2 — interactive 3D scene. The user manipulates objects, assembles, tests, makes mistakes and redoes them. This is the format for technical training and complex product demonstrations. The cost comes from the 3D work and interaction logic.

Tier 3 — simulator with physical hardware. When the experience includes a motion platform, real controls or a built structure — a kayak simulator, a surf simulator, a vehicle simulator, a machine-operation simulator. This is where manufacturing, transport and assembly come in, and the budget is dominated by the physical world, not the digital one.

Gamification: what it changes in the budget and in the result

Almost every VR project that works has a layer of game behind it — and almost every budget forgets to count it. Gamifying means turning the experience into a challenge: score, time, levels, leaderboard, reward. That is the difference between "trying it" and "wanting another go to do better".

What gamification delivers in practice:

  • At an event, it creates the queue and the comeback. A leaderboard on the external screen keeps the people waiting entertained — and brings back those who already played. The experience stops serving one person at a time and starts holding the whole area.
  • It produces data. A score is a measurement: who took part, how long they took, where they failed. A leaderboard with name and contact is the most natural way to capture a lead without it feeling like a form.
  • In training, it sustains repetition. Nobody repeats a tutorial three times for fun; with a score and a target, they do — and repetition is what makes the procedure stick.

What it adds to the cost: the rules and scoring logic, a backend to store and rank results, the leaderboard screen at the event, the integration with contact capture and — the most underestimated item — balancing. A challenge that is too easy bores, one that is too hard frustrates, and getting that right takes rounds of testing with real people.

The honest caveat: gamifying without a purpose becomes noise. If the score rewards speed in a safety training course, you have just taught the team to take risks. The game metric has to be exactly the behaviour you want to see afterwards — in training, that means scoring the correct procedure, not the clock.

Good news for the budget: the cheap version works. Time plus correct answers, with a simple leaderboard, already changes how an audience behaves — elaborate systems of levels, achievements and internal economies only pay off when the experience will run for months. It is the same reasoning we apply in game development.

What drives up the cost without anyone warning you

  • Custom modeling. Every piece needs to exist in 3D before it can exist in the experience.
  • Third-party content licensing. Purchased scenes, models or soundtracks often carry commercial-use restrictions — check before, not after.
  • Operations and logistics. Freight, setup, teardown, equipment insurance and on-site staff add up to more than clients expect.
  • Content revisions. Changing text on a website takes minutes; changing an already-animated 3D scene takes days. Approving the script and setting before production is what keeps the budget in check.

The number that tells you when VR isn't worth it

For corporate training, there's a useful benchmark. The PwC study on the effectiveness of VR in soft-skills training measured both outcomes and cost:

  • Those who trained in VR completed the training 4 times faster than in a classroom;
  • Felt 275% more confident applying what they learned;
  • Felt 3.75 times more emotionally connected to the content than in the classroom, and 2.3 times more than in e-learning;
  • Were 4 times more focused than in e-learning and 1.5 times more than in the classroom.

And here's the part almost no one mentions: VR only breaks even in cost with classroom training starting at 375 trainees, and with e-learning starting at 1,950 trainees. Above 3,000 people, the study points to a cost 52% lower than in-person training.

The practical translation is straightforward: below a few hundred trainees, VR almost never pays for itself as a cost-saving measure. It may pay off for another reason — safety in high-risk training, the impossibility of replicating the real situation, brand impact — but not on a cost-per-trainee basis. Anyone promising savings on a thirty-person pilot is selling something they won't deliver.

And when the goal is an event?

Here the yardstick changes: what matters is how many people per hour the experience can serve and how many of them turn into leads. A five-minute experience with one headset serves, in the best-case scenario, about ten people per hour — and a long line makes visitors give up. Before signing off, do the math: event hours × people per hour × number of stations. If the result is lower than the audience you need to reach, the solution isn't more technology, it's a different format.

The cheaper alternative almost no one considers

Much of what gets requested as VR can be solved with augmented reality running in the phone's browser: the customer points the camera and the product appears in their space, no headset, no app, no line and no operator needed. It doesn't replace training simulations or full immersion, but it works well for product demos, catalogs and activations with large audiences — at a cost of a completely different order of magnitude, and scaling to thousands of people at once.

The question that settles the choice is simple: does the value lie in being inside the scene, or in seeing the object in the real world? If it's the latter, the browser gets the job done.

How to request a quote that makes sense

Bring these five answers to the conversation and the quote will come out realistic on the first round: how many people will use it; over how many days or how many locations; whether a 3D model of what will be shown already exists; whether the experience needs interaction or just observation; and what outcome you want to measure afterward.
